How the Valle de Benás Ski School Put Its Whole Team's Week in One Agenda

A ski, snowboard and mountain-sports school in the Spanish Pyrenees swapped the telephone and the paper for one shared agenda — and stopped telling every instructor, one by one, what they were working tomorrow.

About

Escuela de Esquí y Snowboard Valle de Benás teaches skiing and snowboarding through the winter, then keeps going when the snow does not: mountaineering, canyoning and climbing, plus mountain-bike and e-bike rental. What the school puts first is the attention it gives each client, and the professionalism behind it.

That mix is harder to run than it looks. Each discipline has its own instructors, its own kit and its own season, and all of it is sold from the same desk in the valley — with a winter peak where a single day can carry more lessons than a quiet week.

The Problem

Before Bloowatch, the school ran on the telephone and on paper. A client called, someone wrote it down, and the schedule lived on the page.

Three things went wrong with that, and the team names them precisely: payments that were easy to forget to collect, mistakes in the programme itself, and the daily job of telling each instructor what they were working the next day. None of it is dramatic on a quiet Tuesday. In a full week of the season, it is the difference between a day that runs and a day that does not.

“Not forgetting to take the payments, mistakes in the schedule, and telling our staff what they were working the next day.”

The Solution

The school chose Bloowatch for three things above all: online booking around the clock, payment links that secure a reservation instead of leaving it to be chased, and scheduling built for the way a school like this actually plans its week.

Day to day, two features carry the load — the drag-and-drop agenda, and instructor management with availability: who is qualified, who is free, who is already booked. Sales now come in through three doors at once: the desk on site, the booking widget on the school's own website, and payment links sent straight to the client.

“It helps us take payment on a booking quickly by sending it by email, it helps us manage the calendar, and it helps us manage the bookings that come through our website.”

What Actually Changed

The change the team mentions first is not about revenue. Each member of staff now has their own work agenda, and they are happier for it — an instructor no longer waits to be told the next day's work, because it is already there.

Behind that, the money is under control: payments are tracked rather than remembered. And when a client is already in the database, booking them takes a fraction of the time it used to. Asked when they were most glad to have Bloowatch, the answer was short — managing the calendar.

40%

65%

Overall estimated sales impact.

Conclusion

The school's own estimate: 4 hours saved per week in season, a 40% lift on sales at the desk — the channel Bloowatch changed most for them — and an overall estimated sales impact of 65%.

It is worth noting where that first number lands. For many schools the online storefront is the channel that moves; here it is the counter, where a client is standing in front of you and the answer has to be right the first time.
